Management Tools

The Management Tools module in Bimser Synergy CSP is designed to centralize system administration, monitoring, and configuration. It empowers users to manage security permissions, track system events, balance task assignments, and oversee project development all in one integrated interface for streamlined operations.

Getting Started

Overview

The Management Tools module is designed to give administrators and authorized users comprehensive control over system security, operations, and development. The platform is divided into several key areas:

  • Security Permissions:
    Control access to different system modules by configuring permissions for:

    • System Permissions: Core system settings and low-level access.
    • Web UI Permissions: Access rights for the web interface.
    • IDE Permissions: Rights to use features within the integrated development environment.
    • Document Management (DM) Permissions: Controls for document, folder, and file operations.
    • Application Permissions: Access to specific application functionalities.
    • Menu Permissions: Configuration of menus and navigation elements.
    • Workflow (WF) Permissions: Rights for managing and executing workflows.
    • Connection Permissions: Control over integrations and external connections.
    • HR Permissions: Access related to human resource data and functions.
  • Application Explorer:
    Provides an interface for managing menus and profiles. It allows you to add, edit, delete, pin/unpin menus and manage user profiles, ensuring that users see the correct navigation options.

  • Document Index Report:
    Displays reports on indexed data. It shows details such as the last report date, index status (including counts of indexed, non-indexed, and faulty files), file types, tags, and total file size. New reports can be generated as needed.

  • IDE (Integrated Development Environment):
    A user-friendly interface for creating new projects and accessing existing ones. It supports project creation (subject to license limits), code editing, and integration with version control systems.

  • License Management:
    Monitors the platform's license status, user login limits (ConcurrentUserLimit), and quotas for files, folders, repositories, and projects. It also displays active sessions and controls license modules (e.g., Studio, Authentication, Document Management).

  • Event Log Viewer:
    Lists all system events (such as logins, actions, and errors) with timestamps and user details. Advanced filtering and search capabilities allow you to quickly identify issues and monitor system performance.

  • Task Management:
    Enables you to view and transfer tasks between users or positions. It displays task information such as start dates, process numbers, and statuses, ensuring that tasks are properly reassigned when needed.

Getting Started

1. Configuring Security Permissions

  • Access Security Settings:
    Use the Administrative Tools > Security menu to configure permissions for different modules.
  • Set Up Module-Specific Permissions:
    Ensure that permissions for system, Web UI, IDE, DM, applications, menus, workflows, connections, and HR are defined according to organizational policies. Use the options Allow, Deny, or Unassigned to grant or restrict access.

2. Navigating the Application Explorer

  • Launch Application Explorer:
    Open the Application Explorer from the management tools menu to manage navigation elements.
  • Add or Edit Menus and Profiles:
    Use the + button to add new menus, or search and edit existing ones using the three-dot menu.
  • Customize Navigation:
    Pin or unpin menus as needed and manage profiles to ensure that different user groups have tailored access.

3. Generating and Reviewing Document Index Reports

  • View the Latest Report:
    Access the Index Report tab to see the most recent report. Review the left panel for key information like the last report date and overall report status.
  • Analyze Report Content:
    Examine the index status, total counts, file types, and total size.
  • Initiate New Reports:
    Click the New Report button when a refreshed index is required.

4. Developing with the IDE

  • Create New Projects:
    In the IDE, select the Create New Blank Project option and enter required project details such as name, title, and path.
  • Open Existing Projects:
    Use the project list or search feature to locate and open projects.
  • Utilize Integrated Tools:
    Leverage the code editor and toolbox features to enhance your development workflow.

5. Monitoring License and System Usage

  • Review License Management:
    Check the License Management screen to view license status, user limits, and resource quotas.
  • Monitor Active Sessions:
    Identify active versus closed sessions via visual indicators (green for active, red for inactive).
  • Ensure Compliance:
    Stay within the defined limits for file uploads, folder creation, and project development to avoid disruptions.

6. Tracking System Events

  • Use the Event Log Viewer:
    Open the Event Log Viewer to see a chronological list of system events, complete with dates, user information, and event descriptions.
  • Filter and Search Logs:
    Apply filters (by date, user, or event type) or use the search box to quickly locate specific log entries.

7. Managing Tasks Effectively

  • Access Task Management:
    Open the Task Management module to review current tasks.
  • Transfer Tasks as Needed:
    From the Users Performing the Task or Positions Performing the Task tabs, select tasks and assign them to the appropriate user or position to balance workload.
  • Review Task Details:
    Ensure each task displays its start date, process number, and status for clear tracking.
